Flat-rate vs per-room hotel software: what changes for your hotel.

Most hotel software bills per property per month. The question is whether that monthly bill is fixed (flat-rate) or multiplied by room count (per-room). The difference looks small at signup and grows into something significant by year three. Here's the maths, at the property level, side by side.

Why the gap exists

Per-room pricing comes from the enterprise PMS world, where vendors needed a way to price a 200-room hotel differently from a 20-room one. The maths makes sense for the vendor: bigger customer, bigger bill. For the small-and-medium-property segment, it creates a structural penalty for success — every room you add raises a fixed monthly cost.

Flat-rate pricing is the opposite bet: the value to a small hotel does not scale linearly with room count, so the price shouldn't either. Stanzera is built around this — €20/month per property, regardless of whether you're at 8 rooms or 49. If you run three properties, you pay €60. If you run ten, you pay €200. Per-property keeps the maths fair to the customer; flat-within-property keeps it fair to the vendor.

Where flat-rate stops working

Flat-rate is the better deal up to the per-property room cap (50 on Stanzera). Above that, the maths flips: a 200-room hotel needs the per-room model because the software actually has to do more — load balancing, dedicated support, often channel-manager integrations. We're not pretending flat-rate scales infinitely within a single property. We're pretending it scales well for the 5–50 room segment where it's currently being ignored.
