How much does hotel software cost in 2026?

How much does hotel software cost? The honest answer is frustrating: it depends entirely on how the vendor charges. The same small hotel can pay €20 or €200 a month for nearly identical features. Here is how to read the price tag.

The two pricing models

Almost all hotel software uses one of two models. Per-room (sometimes called per-key) charges a monthly fee multiplied by your room count, so a 30-room hotel pays more than a 10-room one for the same software. Flat-rate charges one monthly price per property, regardless of how many rooms you have.

Per-room pricing comes from the enterprise PMS world, where charging a 200-room hotel more than a 20-room one made sense. For a small hotel it simply penalises you for every room you run.

What a small hotel actually pays

On a per-room model at, say, €4 to €8 per room per month, a 25-room hotel pays €100 to €200 a month — that is €1,200 to €2,400 a year. On a flat-rate model like Stanzera's €20 + VAT per property, the same hotel pays €240 a year, whatever its room count.

The gap widens with more properties. Run three small hotels and a flat per-property price is €60 a month; a per-room bill scales with every room across all three.

The hidden costs to watch for

The sticker price is rarely the whole story. Watch for setup or onboarding fees, per-user seat licenses that charge you extra for every housekeeper you add, channel sync or reports sold as premium add-ons, and annual contracts that lock you in.

A fair deal for a small hotel is all-inclusive and month-to-month, with no per-seat charges and no penalty for leaving.
